Become a part of the University Council

The University Council represents the students and staff of the University to the Executive Board. As such, it is as transparent as possible, and welcomes interest from the community. Meetings are generally public, most documents are freely available, and there are opportunities to address the Council. We have listed several options below.

Speakers' Quarter

The University Council wants to hear from you. Any member of the UM community, staff or student, can ask to address the University Council during the Speakers' Quarter to draw attention to issues that they feel the Council should know about. If you would like to address the Council during the Speakers' Quarter, please sign up at least 24 hours before the start of the meeting by submitting your name and request to the registry at

Become a member of the University Council

If you want to be more actively involved and become a member of the University Council, you can run in the elections. They are held every year for students, and every two years for staff-members. The elections are organised by the Elections Office

The University Council elections use a list-system, with most members elected as members of parties. Seats are distributed based on the total number of votes a list receives.

Vote

Even if you're not a part of the University Council, you can still let your voice be heard. It's easy: just come to the elections and vote.

Workshop: Fostering teacher well-being through nature connectedness

Managing a student association requests teamwork, organisation, collaboration, communication and more. In order to support student associations, every academic year UM Career Services offers the workshop ‘Teambuilding for board members’ for UM student associations. In this workshop, you will learn how to work together as a team with guidance of a career counsellor. The workshop lasts for ± 3 hours and aims for cooperation so you can establish and pursue your goals.

Grants for student organisations

Student organisations at Maastricht University (UM) are able to obtain a grant from the 'UM-stimuleringsfonds' under specific conditions:

  • Students who organise an activity that fits in with UM's strategy and vision may be eligible for a stimulation grant for student activities.
  • A student organisation with 50 members or more, of whom at least 35 study at UM, are eligible for the standard budget grant under specified conditions. This is a structural annual grant for the student organisation.
     

The Limburg University Fund also has resources available to support student initiatives.

Training for Board Members

Maastricht University offers various trainings and info sessions annually for the board members of student organisations. These trainings cover diverse topics such as social safety, board transitions, event organisation, and much more. To see the overview of trainings for board members, have a look here

Does your student organisation have a confidential contact person? Maastricht University offers free trainings for the confidential contact persons of associations to help your organisation strive for a socially safe environment for all members. Free training offer for your members

UM not only provides training for board members and confidential advisors, but also offers student organizations the opportunity to organize training sessions for their members. The range of trainings is very diverse and includes topics such as sexual safety, personal and professional development, strengthening your employability, and much more! A good way of getting to know people is to become a member of a student organisation. In Maastricht there are not only social organisations, but also a large number of study and sports organisations, as well as clubs that are active in the area of arts and culture. Each organisation has its own objectives, culture and programme. More information about the student organisations can be found on their websites.

Types of organisations

Student associations
A student association is a club that fulfils a social function during the study programme. Besides having fun together, many student associations also engage in activities that extend beyond the scope of regular academic programmes, such as addressing societal challenges and contributing to community initiatives.

Associations for international students
International associations build bridges between Dutch and foreign students and often have the objective of facilitating student exchanges between different universities in different countries.

Student sports associations
A student sports association is a student club in which the members practice the same sports. These include team sports and individual sports.

Study associations
A study association is a club for students who follow the same study programme or specialisation or who, in some cases, study at the same faculty. A study association provides services related to the study or specialisation, and an orientation towards the job market.

Student party
A student party is a student council or other representative organ for students, mostly recognised as a student fraction. A student council consults with the university council.

Independent fraternities and sororities
Small student clubs with an emphasis on socialising. Sometimes a fraternity or sorority can be part of a student club, but this is not always the case since they can be independent groups as well. These groups are often differentiated by gender: fraternities are a group of male friends, sororities are a group of female friends. 

Cultural student organisations
There are various cultural student organisations. These are involved with music, dance or theatre. Some examples are a student choir, drama group or dance group.

Other student organisations
There are several student clubs who cannot be placed under the labels above. These are students who create a student club based on a common interest, lifestyle, ethnicity or social purpose.

Code of conduct: Introduction period

During the introduction period, aspiring members have the chance to find out more about the student organisations in Maastricht. During this period you will meet older students and get to know other aspiring members.

To ensure that the introduction period goes by without any hiccups and to prevent problems, a code of conduct has been drawn up by the 'Commissie Kennismakingstijden Maastricht'. It contains a number of rules and agreements certain organisations and the sororities/fraternities must adhere to during the entire introduction period.

Certificates for student board members

Every student who has been a board member at a general (non-faculty) student organisation and who receives six or more months from the UM Studentenondersteuningsfonds’ is eligible for a certificate. The certificates are signed by the President of the Executive Board.
 

Procedure

In May, the Secretary’s Office Student Services Centre (SSC) sends an overview of which board members are eligible for a certificate to the student organisations. After checking if the overview is correct, the student organisations fill in a form with all the necessary details of their board members and return it to the Secretary’s Office SSC. The certificates can be obtained at the Secretary’s Office SSC or sent to you by email.

Get acknowledged for your commitment to the Maastricht community
 

At UM, we place great importance on the role of civic engagement in contributing to our society and environment. Whether you are supporting others, promoting sustainability or raising awareness of important issues, your commitment is valued. To acknowledge your efforts, we offer the digital edubadge Global Citizenship, which you can add to your LinkedIn profile and CV.

Certain student organisations have activities or committees that meet the CEA requirements. If you participate in these, you may be eligible for this recognition.

To request the edubadge, your student organisation must be registered. The board can apply for approval of your organisation’s civic engagement activities by completing this form and sending it to volunteer@maastrichtuniversity.nl. When your organisation is registered, you will receive the reflection form that your volunteers need to fill out in order to receive the edubadge Global Citizenship.

Organisations up to five members

We understand that recognising contributions can be more challenging in smaller groups. Therefore, the project team, together with the Director of the Student Services Centre, will review and approve participation for organisations with five or fewer members. Additional questions may be asked to assess the activities of small organisations.

Promote your student organisation at the Personal & Professional Development Portal! 

Create an account with your board email address and publish volunteer vacancies. Whenever a student applies, you will receive a notification. You can contact the student to meet up! 

Omnium (Latin for "belonging to all of us") is the UM dialogue platform that hosts events organised by the UM community to stimulate meaningful dialogues and debates. 

The centre invites students and staff to co-organise events and collaborate with the OmniUM Team to bring these discussions to life.

How it works

Omnium is for everyone at UM, and it is up to you to shape, organise and reflect on societal issues. This can take various formats, such as debates, dialogues, panel discussions, interviews, etc.

Starting in September 2024, individual students and student associations can submit ideas for topics and formats to engage in conversation. Using our guide, facilities, and guiding principles, you can take practical steps to ensure your idea is realised into a one-off event or a series of meetings with the help of the OmniUM team.

OmniUM will facilitate this and will support, with advice and assistance, everyone from the university community who wants to reflect on societal issues through involvement in conversations, debates and discussions.

The UM sees the importance of students connected to our community. They not only do good for others, organisations and society, but they also develop competencies that are important for their personal and professional development and wellbeing. Volunteering can help them to connect with new people, to get a sense of belonging and to integrate more into our community.

We also notice the struggle some organisations have with finding new volunteers and how to attract them. With our portal, we would like to support you and match interested students to your organisation.

Students who participate in volunteering tune in to the reality of the needs of people, organisations and society around them. This application to the actual questions of people, organisations, and society aligns with challenge-based learning, which invites and encourages them to apply and refine their competencies developed through PBL to relevant questions in non-academic settings. They learn to apply and refine their academically acquired expertise, competencies and skills to meet the challenges outside the academic setting in a worthwhile and sustainable way for themselves and their environment. 

As an organisation, you can contribute. You support our students on their journey of self-development and teach them what community involvement is. This will benefit them throughout their whole lives. At the same time, our students will not only provide you with a pair of extra hands, but they will also come with new knowledge, energy, enthusiasm and fresh ideas. Information for student organisations

Some student organisations have activities and or committees that will meet the requirements. Students participating in these activities/committees can be eligible for the acknowledgement.

Before students from student organisations can ask for the acknowledgement, it is expected that student organisations have their activities approved by the UM first. If you are a student organisation, the board can request approval for your organisation's civic engagement activity by filling in this form and send it to volunteer@maastrichtuniversity.nl

Organisations up to five people

Some organisations are small and consist of fewer than six students. We understand that acknowledging each other can be very difficult in such a case. Therefore, the project team with the director of the Students Service Centre will approve participation for organisations with up to five students. The project team may ask additional questions for small organisations.

Frequently Asked Questions

What is in it for me?
We think you can help others with your skills, and that you could use a break from all those lectures and PBL sessions now and them. Say hi to personal and professional development! Of course volunteering is a plus on your resume, but you also get to meet new people and it makes you happier.

Can I combine it with my work or other activities?
Do you have an hour? That could be enough to help another person get ahead. In our portal, you find different activities and projects. Therefore, you spend exactly as much time as you want on the project that suits you best.

How does it work?

  1. At the portal you will find several Civic Engagement Activities  where you can participate in. Apply and the organisation will contact you and make agreements with you.
  2. When you have finished the activity or participated for at least 28 hours, you write a reflection about your participation and your development.
  3. The organisation needs to approve your reflection form and therefore declares your active participation.
  4. After approval from the organisation, you can request the acknowledgement at UM.
  5. When UM recognises and acknowledges your civic engagement, you will receive a link to edubadge to claim your Global Citizenship badge.

When do I need to fulfil the activity?
You can start your participation whenever you and the organisation suits. You do need to participate for at least 28 hours within one calendar year, starting when you begin to participate in the activity.

I am a non-EU citizen. Can I volunteer?
Non-EU citizens always need a TWV (Tewerkstellingsvergunning) if they want to work in the Netherlands, including students. The employer must apply for the work permit, in this case the civic organisation. Please contact the organisation you want to volunteer at for more information.

I receive a reimbursement (vrijwilligersvergoeding) for my volunteer work. What does that mean for my taxes?
In the Netherlands, we have the volunteer scheme. This scheme has maximum amounts on which you do not have to pay tax. Above these amounts, you do have to pay tax. For more information, see the website of the tax authorities: Vrijwilligersvergoedingen (belastingdienst.nl)

Some countries do not have the volunteer scheme. For international students, it is important to know where you have to pay tax and how tax is regulated in your country.

What does the UM mean by positive social impact?
In general, positive social impact is about helping (more) people to a greater degree; a better expected well-being. More information about social impact can be found on: What is social impact? A definition - 80,000 Hours (80000hours.org).

You do not need to measure social impact. For the UM it is important that you think about what your participation in the activity means for the people/community you are helping.

I participated in an activity that meets the requirements for acknowledgement. How can I receive acknowledgement for this activity?  
When your participation in CEA meets the requirements, you can be eligible for acknowledgement. Please contact us via volunteer@maastrichtuniversity.nl 

I receive financial support for administrative months. Is that considered salary and can I therefore not get Global Citizenship acknowledgement?
The administrative months are paid as compensation for any study delay and the extra costs it entails. It is therefore not a salary. If your board year otherwise meets the conditions then it can qualify for recognition as an activity.

I have participated in several CEA that meet the requirements. Will I get a different badge?
There is one type of badge issued for CEA. The badge can be personalised by adding a narrative. In the narrative, you can indicate what you did, what you developed and for how many hours. This can make it clear that these are different activities. You can obtain a maximum of five Global Citizenship badges.
