Statements
Do you need a statement or document related to your application, enrolment, transcript, tuition fees or graduation?
Or do you need to have a form filled out by Maastricht University for an organisation or institution?
Below, you’ll find the most common statements and documents, along with instructions on how to request them. If the document you need isn’t listed, please email the relevant form or a brief description of your request to study@maastrichtuniversity.nl.
Proof of Application (BvA)
Housing agencies may request Proof of Application (Bewijs van aanmelding, BvA) to verify your applicant status. You can provide this by taking a screenshot of your application in Studielink or the MyApplication portal. Make sure your name, programme and academic year are clearly visible. Once you are officially enrolled, you will still need to provide a Certificate of Enrolment to the housing agency.
Certificate of Enrolment (BvI)
A Certificate of Enrolment (Bewijs van Inschrijving, BvI) may be required by organisations such as housing agencies, sports clubs, financial institutions or insurance providers to verify your status as a student. It may also be needed for certain university procedures, such as during examinations, depending on your programme requirements.
You will receive a Certificate of Enrolment when you have met all enrolment requirements and are officially enrolled as a student. Once you are notified that you are fully enrolled, the Certificate of Enrolment will be sent to your UM email address. Please keep this document in a safe place.
If you need a Certificate of Enrolment for a specific institution/company or specific reason, you can request this from the Student Service Centre by sending an email to study@maastrichtuniversity.nl.
Please note: You can only request a Certificate of Enrolment if you have met all of the enrolment requirements and are officially enrolled as a student.
Proof of Enrolment for Military Service Abroad
Go to the Front Office of the SSC (Bonnefantenstraat 2) and indicate that you need a military BVI (Bewijs van Inschrijving Militaire Dienst buitenland). The Front Office employee will complete this form digitally, then print, stamp and sign it.
With this form you will also receive a form from DUO, which you must fill out yourself. You have to send both documents to DUO by registered mail in the envelope provided. DUO's address is listed on the DUO form. DUO will check whether they meet the requirements. The cost of DUO legalisation is €16.
Completing the legalisation process
- For countries that are part of the Apostille Convention:
After receiving the legalised documents from DUO, you must apply for an apostille at a Dutch court.
More information and a list of courts q
- For countries NOT part of the Apostille Convention:
After receiving the legalised documents from DUO, contact the Consular Service Centre in The Hague, and often also the embassy or consulate of your country to find out more about how to complete the legalisation process.
Proof of Payment of Tuition Fees (BBC)
A Proof of Payment of Tuition Fees (Bewijs Betaald Collegegeld, BBC) is a declaration stating that you have paid the full statutory tuition fee of a Dutch university (WO) or university of applied sciences (HBO). If you then register simultaneously at another WO or HBO institution, you can submit the BBC at this second institution in order to be exempted from paying the statutory tuition fee there, too. That is, you pay tuition fees at just one institution. Note, however, that you are only eligible for this exemption if you pay the statutory tuition fees (not the institutional fees).
- Situation 1: I’m registered at UM and want to register at another institution, too
You can request an original BBC from the Student Services Centre (SSC) by emailing study@maastrichtuniversity.nl. Please mention your name, student number and the name of the Dutch university where you want the BBC to be sent.
- Situation 2: I’m registered at another institution and want to register at UM, too
If you have paid the statutory tuition fee at the other institution and wish to register at UM for a second study programme, please request a BBC from the other institution. The other Dutch institution will send this directly to UM.
Institutional tuition fee statement (document from DUO)
The Institutional tuition fee statement from DUO (Verklaring instellingscollegegeld) is used when you have paid the institutional tuition fee and need proof of payment. Fill in your personal details yourself, and for the educational details you can mail the form to study@maastrichtuniversity.nl or stop by the SSC Front Office (Bonnefantenstraat 2).
Certificate of Deregistration (BvU)
You can get a Certificate of Deregistration (Bewijs van Uitschrijving, BVU) upon request by sending an email to study@maastrichtuniversity.nl.
