Professional services for UM staff

The UM Campus Brussels events team offers support for UM staff (researchers, educators and students). The type of support depends on whether the activity is public or public-private:

  • Public activities: staff who organise public activities receive certain services free of charge - these are referred to as "standard services" (see list below). If you require support beyond this list (i.e. "non-standard services"), please contact the UM Campus Brussels team with your requests. 
     
  • Public-private activities: staff who organise public-private activities (e.g. an executive course or contract research events), please contact the UM Campus Brussels team with your requests.

Standard services

  • Booking and provision of advice on meeting rooms at Campus Brussels
  • Advice on programme design and communication
  • Liaising with partner suppliers
  • Provision of a quote comprising all expected expenses at and related to Campus Brussels (catering, transport, accommodation)
  • Preparation of ICT and media regarding the event
  • Preparation of conference materials (conference folders, badges, etc.)
  • Our team acts as the first information point for both speakers and participants
  • A welcome slide with your event on display in the reception
  • Provision of information on local services (transport, directions, nearby restaurants and accommodation, etc.)
  • Coordination of the catering during the event (receiving caterer and setup)
  • Pictures taken during the event 

Non-standard services (price provided on request)

  • Registration management (online registration form creation including personalised reminders) 
  • Webpage creation on UM Campus Brussels website (content provision by organiser including two adaptations to the webpage)

  • Online promotion via social platforms

  • Stakeholder engagement 

  • Coordination of speakers 

  • Hotel reservations

*Working hours are from 9:00am to 5:00pm  

Support outside of working hours is subject to staff availability.

Virtual public event package (4-hour event)

Virtual events

Standard services 

  • Creation of online meeting/webinar
  • Technical support (creation of breakout rooms, managing participants, speaker spotlighting, welcome & house rule slides, recording and provision of the online event)

Non-standard services 

  • Registration management (creation of an online registration form and sending event reminders)
  • Webpage creation on UM Campus Brussels website (content provision by organiser including two adaptations to the webpage)
  • Online promotion via social platforms

 The rate for the virtual event package includes standard and non-standard services: 475 euros 

 

Optional add-ons

  • Drafting of event invitations for the speakers (price provided on request)
  • Video editing of the Zoom recording with logo, titles, and captions (price provided on request)
  • Teaser video about the event to promote on social media, see example here (price provided on request)
  • Highlights video post-event, see example here (price provided on request)

Hybrid public event package (8-hour event)
