Endnote program and support
EndNote is a software program that helps you collect, manage and use a personal database of bibliographical data. It allows you to handle publication details simply, and – when integrated with Word – incorporate literature references both in your text as well as in the reference list and lists in your document while you write. Although the UM officially recommends only two styles, you can choose from more than 4500 output styles.

Availability and user support
Maastricht University (UM) has a general licence for EndNote (via SURF), which means that staff and students can use the software both at work and at home. In line with this licensing policy, the ICT Service Centre provides technical support, while the library is responsible for user support and instructions. Different versions of EndNote are available; the library currently only supports version X2.04.
This version unfortunately causes a major issue for users of Office 2010. EndNote X2 is not compatible with MS Word 2010. EndNote X2, created by Thomson Reuters, will not be made compatible with a patch. This means that students that want to use EndNote both within the UM as well as at home have to use Student Desktop Anywhere on their computers at home. EndNote X2 libraries can be opened with EndNote X4, but X4 is NOT downward compatible.
EndNote X4 is available for Office 2010 users via the ICTS licentiesoftware page. Official support however is not (yet) available.
Installing EndNote on your PC
Click here to install EndNote on your PC. A window will pop up; enter your username and password in here. Then do the following:
- Click on 'Agree' in the window on the left.
- Type 'EndNote' in the 'Free search text' bar.
- Click on 'Start'.
- Click on the 'Download' link next to the desired program.
TIP: Make sure you hold the Control button the moment you click on the download link. Hold this button until you receive the new pop up screen for saving or running the application!
Compatibility of different EndNote versions
If you are using EndNote version 8, we strongly advise you to upgrade to version 9. If you are using version 7 or lower, keep in mind that the libraries, filters, connection files and output styles created in version 8 and above cannot be used in version 7 and lower. However, libraries created in version 7 or below can be used in version 9; they will automatically convert to EndNote 9 when you open the file. You will then have a copy in EndNote 9, while the older file also remains available.
If you want to view a library created in EndNote 8 or higher in an earlier EndNote version, you must export it as a text file using the Refer Export format. This text file can then be imported into an older version using the Refer/BibIX import filter.
As mentioned before Endnote X2 is currently the UM standard. If you are using any other lower EndNote version we strongly advise you to upgrade to version X2. Libraries created with a lower Endnote version will automatically convert to EndNote X2 when you open the file. You will then have a copy in EndNote X2, while the older file also remains available.

EndNote training
The Faculty of Health, Medicine & Life Sciences, University College Maastricht, the School of Business and Economics and the Faculty of Psychology & Neuroscience have incorporated an EndNote training into their curricula. UM staff as well as students from other faculties can subscribe for a training session offered monthly via the training subscription module on the library website.

Importing references into EndNote (Direct Export / Filters / Connection Files)
You can export existing references from another file and import them into EndNote. This means you do not have to enter them manually, and you can import many references at once. There are different ways of doing so:
- Direct export
From most databases (e.g. the EBSCO and Ovid platforms) it is possible to export records directly to EndNote via the button ‘Direct export’. Using this export function EndNote automatically opens on your computer and the selected records are imported into your own EndNote file.
- Filters
Filters allow you to import data from other literature files into EndNote. You can recognize an EndNote filter by the extension .enf. Many filters are included in the EndNote program. If multiple filters are listed, select the appropriate publisher. You can download the latest filters via the EndNote Thomson website. The university library makes sure the latest filters are included on UM student work stations.
For some files that UM subscribes to, UM filters with extra functionality are available. When you download filters, make sure you save them in the Filters folder within EndNote on your computer. Once again, the university library makes sure also these filters are included on work stations.
- Online Search via connection files
From EndNote it is also possible to search certain databases (e.g. PubMed or our own UM library catalogue). Using connection files, you can transfer data into your EndNote file simply and directly. However, this limits the search functionality compared to directly using the native interface of the databases. For some UM files a UM connection file is available.

Output Styles
If you want your article to be published, the document generally and the references in particular must satisfy the conditions set by the journal. In EndNote X2 you can choose from the preprogrammed styles of more than 3000 journals. You can change the 'Output style' at any time using the format bibliography option, even in existing Word documents. It is also possible to create your own style in EndNote.
