Information for new employees

As a new employee it is not always easy to find your way, especially if the organization you start working for is as large as our university. Moreover, when you do not understand the Dutch language (yet), you might end up with a lot of questions. How do I get a Smart Card? What does a specific abbreviation mean? Where can I find phone numbers and e-mail addresses of other employees? And so on. This site aims to help you find your way to the information that could be useful to you during the first months of your career at our university.

Ways to find your way
There are many ways to retrieve the information you need. First of all new employees, such as yourself, are always invited to an entrance interview with the personnel department. (One of) your superior(s) will also be present during that interview. Any questions you have concerning work, you can ask them during the entrance interview or afterwards.
Secondly, the department secretary is an important information provider. You can ask him or her almost anything and she will answer all your questions or refer you to the right person.
Finally, there is the university website. It gives you a lot of information, although some information is not yet available in English.

When you start working with us, you will receive a package with useful information on our faculty, and on faculty and university regulations.

We made a short list of frequently asked questions to give you an idea of the kind of questions you might want to have answered.

Questions you can ask your superior

  • Will there be an introductory programme and what will it look like?
  • Who are my colleagues and which departments will I be working with?
  • What are the houserules of my department?
  • When do we evaluate my trial-period and which criteria will I be evaluated upon?

Questions you can ask the personnel department (tel. 83192/82509)

  • Any questions on collective arrangements, such as the bicycle-plan and other benefits.
  • Any questions on your salary and your contract.

General introductory programme Maastricht University

New employees who have a contract for at least six months will be invited to a general university introduction meeting. This invitation will be sent within the first four months of your appointment. During this meeting you will:

  • Meet a member of the Executive Board
  • Receive some information on the history and get an idea of the future of Maastricht University
  • Be informed about the organisational structure of Maastricht University
  • Receive information on personnel arrangements, rules and rights
  • Get a guided tour through our university building(s)
  • End the day with an informal drink.

Opening hours and parking facilities

Opening hours of the building Grote Gracht 90-92 (Hof van Tilly) are 8 am to 6 pm on weekdays and 10 am to 6 pm on Saturdays.

Opening hours of the building Grote Gracht 80-82 (Soirongebouw) are 8 am to 6.30 pm on weekdays and 10 am to 6 pm on Saturdays.

After office hours both buildings are only accessible using your Smart Card until the alarm is switched on at 10 pm.

For safety reasons the automatic fence at the car park is closed during the day (except between 7.30 and 9.30 am). After 9.30 am the fence can be opened by using the Smart Card at the barrier card reader. Employees who do not have a parking permit can leave the car park on foot by using the card reader on the inside of the fence.

Only employees who have their residence more than 15 kms from Maastricht will receive a parking permit.

Smart Card

Your Smart Card gives access to both buildings and the bicycle shed at Grote Gracht 90-92. You will also need the card to have access to the University library facilities and the print and copy facilities in both buildings.

The secretary of your department will provide the request form for Smart Cards. Loss or damage of your card should always be reported to the facility manager.


Your office

Your place of work will be assigned by the head of the department. Standard furniture will be available (desk, office chair, filing cabinets and/or bookcase, computer).  We will provide an email account and internet connection. The caretaker will provide a room key.

Environment, health and safety

Among the provided information brochures you will find a flyer with safety procedures. In case of an emergency you should always call 1333 and inform the reception desk. Please indicate the type of accident and exact place. First aid will be immediately available. In case of fire you will hear an evacuation signal. Try to stay calm, leave the building through the backdoor (or follow instructions given by the evacuation assistants) and go to the parking lot.

Information dissemination for faculty staff

First of all, the Faculty of Arts and Social Sciences, has its own website (part of the UM website) with contains also information for a general public. Next to this, the faculty has two other channels to disseminate information to staff members: the intranet and the faculty newsletter.


Intranet

The intranet provides information on all sorts of faculty matters. Such as minutes of the meetings of the Faculty Council, agenda, decisions and announcements of the Faculty Board, reports and notes, procedures and guidelines. You can enter the intranet at

Newsletter

The faculty publishes a newsletter every two months. This newsletter contains contributions by staff members on research, education, conferences, recently published books, personnel affairs and the faculty calendar. Contributions to the newsletter can be sent to
